The grievance letter — step one of every formal loan complaint
The RBI Ombudsman will not hear a complaint until the lender has had 30 days with it. That makes this letter the most important date-stamp in the whole process: it starts the clock.
When this letter applies
- ▸Any serious dispute with a lender: harassment that continued after a cease-and-desist, wrong charges, a loan you closed still showing active, promised terms not honoured.
- ▸Before any RBI Ombudsman complaint — the ombudsman route legally requires this step first.
- ▸When you want the pressure of a formal, dated record without going to any regulator yet.
Who it goes to
The Grievance Redressal Officer named on the lender’s website (every RBI-regulated lender must publish one). Copy the nodal officer and customer care.
What it must contain
- 1Your identity and the loan account, fully specified — name, PAN, account number, app/brand.
- 2Numbered incidents, each with date, time and what happened — "on 4 September at 21:40, an agent called my brother" beats a paragraph of narrative every time.
- 3References to earlier notices you sent (like a cease-and-desist) with their dates — that shows a violation after written notice.
- 4A pointer to your evidence — shared as view-only links, never as raw attachments.
- 5What you want, stated plainly: stop the conduct, correct the charge, issue the document. A grievance without a concrete ask is easy to "resolve" with an apology.
- 6The date, prominently — and your note that per RBI’s framework you may escalate to the Ombudsman after 30 days from this date.
The timeline
⏱️ 30 days is the lender’s statutory window. Mark day 31 in your calendar the moment you send this: if the grievance is unresolved or the reply is unsatisfactory, the RBI Ombudsman route (cms.rbi.org.in, free, no lawyer needed) opens that day.
What happens next
The lender will usually respond — log the response and its date. Resolved: get it in writing. Not resolved by day 31: file at cms.rbi.org.in citing this letter’s date and reference.
Don't draft it alone

Every step above rests on a specific law or RBI instrument. Cite these by name when you complain — a grievance that names its provision is handled differently from one that doesn't.
The escalation right this letter unlocks — the ombudsman requires the lender to have had 30 days first.
Obliges the lender to run a grievance mechanism with a named officer and to actually resolve complaints.
